Application Data. We may request access to certain device features (e.g., contacts) and automatically collect device data. If you wish to change permissions, do so in your device's settings.
  • Push Notifications. We may request permission to send push notifications. We use push notifications to inform you of important changes to our legal terms or essential account-related information only, not for marketing. If you wish to opt out, turn them off in your device's settings.

No Targeted Advertising or Data Brokering: We do not provide user data for targeted advertising or data broker services.

We implement industry-standard security measures to protect your data. All communications are encrypted, and we regularly update our security protocols.



2. HOW DO WE PROCESS YOUR INFORMATION?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.

We process your personal information for various purposes, depending on how you interact with our Services, including:

  • To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.

  • To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service.

  • To respond to user inquiries/offer support to users. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.

  • To send administrative information to you. We may process your information to send you details about our products and services, changes to our terms and policies, and other similar information.

  • When we use Google Maps Platform APIs. We may share your information with certain Google Maps Platform APIs (e.g., Google Maps API, Places API).

  • Business Partners. We may share your information with our business partners to offer you certain products, services, or promotions.

  • Other Users. When you share personal information (for example, by posting comments, contributions, or other content to the Services) or otherwise interact with public areas of the Services, such personal information may be viewed by all users and may be publicly made available outside the Services in perpetuity.


5. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?

In Short: We do not currently use cookies or other tracking technologies on our website.

At this time, our website does not set or use cookies. We do not use cookies for analytics, advertising, or any other purpose. Additionally, we utilize Formspree to provide a contact form for user inquiries. Formspree is a third-party form submission service that does not set cookies on your device. Your personal information (such as your name and email address) submitted through the form is sent directly to our inbox via Formspree's servers, and we do not use any cookies or tracking technologies in relation to these submissions.


6. DO WE OFFER ARTIFICIAL INTELLIGENCE-BASED PRODUCTS?

In Short: Yes. Calls made using our Services are processed through our AI Voice Provider, which may store transcripts for limited purposes.

Voice/Audio Data

Call Processing Through our AI Voice Provider: When you initiate a call via our app, the call is routed through our AI partner, our AI Voice Provider. Although we do not record or store audio files on our own servers, our AI Voice Provider does generate and store transcripts of your calls for up to two (2) years.

Transcript Usage: The call transcripts may be used by our AI Voice Provider to improve, train, and develop its AI services. This means our AI Voice Provider can analyze and learn from transcripts to enhance its automatic speech recognition, voice transcription, or related AI capabilities.

Storage in Google Firestore: We also store call logs and transcripts in our own databases (including Google Firestore) to provide you with call histories, scheduling, and related functionalities.

No Full Audio Recordings: We do not retain or share any full audio recordings from your calls. Only transcript data is generated by our AI Voice Provider's system for the above purposes.

Training and Improvement

Anonymized and Aggregated: In some cases, transcripts may be anonymized and combined with other data to help refine the AI's capabilities.

User Control: If you have concerns about how your calls are processed or used for AI training, please contact us at legal@pivotaiapp.com. Certain opt-out measures may limit app functionality.

Transparency

We aim to be open about how AI is used to deliver or enhance your experience. Should we make material changes to how transcripts or voice data are processed, we will notify you as described in the "Updates to This Notice" section below.


7. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this privacy notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.


8. HOW DO WE KEEP YOUR INFORMATION SAFE?

In Short: We aim to protect your personal information through a system of organizational and technical security measures.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.


9. DO WE COLLECT INFORMATION FROM MINORS?

In Short: We do not knowingly collect data from or market to children under 18 years of age.

11. CONTROLS FOR DO-NOT-TRACK FEATURES

In Short: Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. No uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this privacy notice.

California Civil Code Section 1798.83, also known as the "Shine The Light" law, permits our users who are California residents to request and obtain from us, once a year and free of charge, information about categories of personal information (if any) we disclosed to third parties for direct marketing purposes and the names and addresses of all third parties with which we shared personal information in the immediately preceding calendar year. If you are a California resident and would like to make such a request, please submit your request in writing to us using the contact information provided below.


13. REFERRAL, REWARDS, OR PROMOTIONAL PROGRAMS

From time to time, we may offer referral codes, loyalty rewards, or other promotional credits when you voluntarily share certain personal information. Participation in any such incentive program is entirely voluntary, and you may opt out by contacting us at legal@pivotaiapp.com. If you choose to participate, we may collect and process limited personal data (e.g., your name, referral code usage, or email address) to administer and track these programs.
